Admission leads and follow-ups on Houstel.pk

5 min read  ·  Updated October 2026

Track prospective residents from first enquiry to a visit and admission, while avoiding duplicate leads.

Step by step

Where to go: Leads → lead tracker

Who can use it: The hostel owner, or staff with access to this feature. Some actions need additional permission.

Screens show the real interface with fictional demonstration data. Options may differ with your role, plan and enabled features.

  1. Search before adding

Open the tracker, search by contact details, then Add a lead. If a matching person appears, open their existing lead or add a follow-up. Use Add another lead only when it is genuinely a different enquiry.

  2. Record useful details

Choose the correct branch, how they contacted you, where they found you, their interest and the next follow-up. Keep notes factual and limited to the accommodation enquiry.

  3. Follow through

Open the lead to record follow-ups, visits and the outcome. Create or link the actual resident booking when they move in. Use lead reports to compare enquiry sources and admissions.

Before you finish, and when something goes wrong

  • A shared family phone number can represent different people. Verify the name and enquiry before merging or adding a duplicate.
  • A visit or a promising conversation is not an admission. Check that a real booking exists before treating a bed as occupied.
  • Switching branches can change who can work on the lead. Check the selected branch before making assignments or contacting someone.
  • Do not publish lead contact details, internal notes or campaign performance. Contact people only for the purpose they enquired about.

If a save times out, check the record before repeating it. If access is denied, ask the owner to review your hostel assignment and permissions. Never share your login to work around an access restriction.
